Success Stories

AEG Worldwide owns and manages some of the world’s most well-known sports and entertainment venues, whose events generate hundreds of thousands of invoices annually. The company looked for a process and content management system to address a number of challenges in accounts payable, namely long payment cycles, disparate invoice flow between global offices, and time-consuming, paper-intensive audits. Today, with seamless integration between AEG’s JD Edwards EnterpriseOne and Perceptive Software, the company has cut turnaround time by 60 percent, eliminating costly late fees and taking advantage of early payment discounts along the way. Business was booming for Ben E. Keith, America’s ninth largest full-line food service distributor. But their back office was bogged down with a growing AR/AP workload. Human resources and customer service also struggled to keep pace. The company looked to Perceptive Software to unlock efficiencies one department at a time. Integrating Perceptive Content document imaging and workflow within their PeopleSoft environment delivered instant access to the information fueling core process, along with unprecedented visibility and control of previously unstructured data—such as paper invoices from the 12,000 restaurants the company serves. From AR to AP to HR and other departments, Ben E. Keith has expanded Perceptive Software and productivity across the enterprise. Full story

Mired in a paper-based system, the finance department at Cedars-Sinai Health System couldn’t respond quickly enough to customer and internal inquiries. Because each involved a laborious file cabinet search for specific documents, followed by a trip to the copier and physical routing by mail. Today, thanks to seamless integration between Perceptive Software and Cedars-Sinai’s PeopleSoft system, authorized users enjoy instant access to those documents from their PeopleSoft screens. They can now respond immediately to any internal or customer request. Perceptive’s Automated EDI Conversion package also converts EDI data into XML files, and then into PDF documents that are automatically imported. Along with greater visibility and more efficient handling of AP documents, the finance department enjoys drastically reduced paper storage costs and improved customer satisfaction. Full story

Approving invoices from satellite offices in Washington state and Alaska used to take five days or more for Premera Blue Cross, a 1.3 million-member health plan. The accounts payable paper trail and snail mail limited staff productivity, produced unnecessary costs, and diverted focus from more value-added functions. Integrating Perceptive Content with Premera’s PeopleSoft ERP gave AP staff a seamless link between PeopleSoft and invoice documents and supporting information. Today, employees from five buildings no longer have to chase hard copies; they can access everything within PeopleSoft. Replacing manual workflow with automated processes has expedited approval and reduced paper output and mailing costs. Perceptive’s easy integration and administration allow Premera to manage the system with minimal assistance from the IT department. Full story
Like many manufacturers, Sealing Devices had work orders and engineering specs for thousands of its products contained in file folders, accumulating in on- and offsite storage. Manual sorting and filing was painstaking; retrieval was equally time-consuming. After integrating Perceptive Content document management, imaging and workflow into the company’s Oracle E-Business Suite environment, engineers can now retrieve the exact document they need without digging through files. Work orders are scanned and automatically indexed and tied to the corresponding Oracle record. Seamless integration between the two systems ensures information is accurate, data entry is minimized and retrieval is quick. Now, virtually every department enjoys the same functionality—and the freedom to focus on value-added activities. Full story

Not only did using a paper-based workflow process make claims administration slow and inefficient, it also made Safety National Casualty Corporation (SNCC) a sitting duck for the loss of millions of documents in the event of a natural disaster. By implementing Perceptive Content, SNCC has streamlined claims processes, reduced lost documents, freed storage space, simplified auditing and protected itself against natural disasters. Claims analysts no longer wait for folders to show up, because the documents they need are at their fingertips. They’re also more productive when they’re out doing audits because they can access folders from location. Success in the claims department led to an expansion of Perceptive Content into human resources, underwriting, accounting, legal and, eventually, across the enterprise. Full story

With more than 40,000 active-duty personnel and tens of thousands more retired and annuitant members, administrative functions at the United States Coast Guard were slowed by massive amounts of paperwork. More than 2 million documents flowed in annually, most of them paper. With backlogs building, response times to its multiple constituencies took several days. USCG had tried a content management system before, but integration was poor with PeopleSoft and custom applications. Perceptive Content document management, imaging and workflow solutions integrated seamlessly with all existing applications. USCG now has a central repository that allows instant access for authorized users, regardless of location. Employees no longer waste time, supplies and taxpayer dollars chasing down or duplicating documents. Response times have gone from days to minutes. Full story

With more than 63,000 students, 24,000 employees, four sprawling campuses and $3.2 billion in revenue, the University of Missouri System is one of Missouri’s largest businesses. And perhaps the biggest paper consumer. At least it used to be, until it integrated Perceptive Content document management, imaging and workflow technology into its PeopleSoft ERP and custom applications. Today, more than 25 departments use Perceptive to streamline costly, document-intensive processes across the university system. Millions of documents are managed efficiently, reducing manual tasks so staff can focus on value-added responsibilities. Instant access to those documents from any location facilitates faster service to students and constituents. And Perceptive’s security framework supports the system’s compliance initiatives.
